Business VoIP: Real Entry Price & What's Gated — 2026

VoIP providers advertise "$15/user/mo" — but the entry plan often excludes the one feature you need (CRM integration, call recording), and per-user pricing hides the real cost for bigger teams. A sourced look at 13 providers.

The headline per-user price is only useful if the entry tier does what you need. In practice, CRM integrations, call recording and power dialers are routinely gated to higher tiers, and a flat-price provider can undercut everyone past a certain headcount. This page maps the real entry price, the pricing model, and what's locked behind an upgrade.

Key findings

  1. CRM integration is the most commonly gated feature. RingCentral (Advanced+), Dialpad (Pro), Aircall (Professional) and Phone.com (Pro) all push Salesforce/HubSpot behind an upgrade. If you run sales on a CRM, the advertised entry price is rarely the price you'll pay.
  2. Flat pricing wins decisively for bigger teams. Grasshopper charges per account, not per user — unlimited users at ~$14/mo. Past a handful of seats it undercuts every per-user rival here.
  3. "Unlimited calling" is conditional more often than you'd think. Zoom Phone's entry plan is metered (~$0.0242/min); 8x8's country coverage jumps from 14 to 48 only on X4; Google Voice needs a separate Workspace subscription. GoTo Connect is the standout — unlimited international to 50+ countries on every plan.
  4. AI features are no longer a premium add-on everywhere. Dialpad includes AI transcription and call summaries on all tiers, including Standard — a contrast to providers that reserve AI for top plans.
  5. Note the OpenPhone → Quo rebrand. OpenPhone rebranded to Quo in 2026; content and comparisons referencing "OpenPhone" should account for the name change.

Methodology

13 business VoIP/UCaaS providers compared on advertised entry price (annual where noted), pricing model (per-user, per-license, flat or metered), the notable feature gated to a higher tier, and one differentiator. Figures are as published in a sourced 2026 dataset. This is an entry-price and feature-gating map, not a call-quality or support ranking.
